Executive Assistant for CEO - Communications Industry

If you have been looking for an opportunity to support a busy executive with a successful track record, this is your chance. As the Executive Assistant you will be responsible for a variety of tasks revolving around assisting with creative communication projects (advertising, marketing, and PR) for our communications firm. Your duties will include: • Using your coordination skills to manage a busy calendar that includes both personal and business appointments. • Having direct communication with clients on project updates and the status of projects. • Composing letters, reports, and memos. • Offering limited/broad copy and design suggestions for pieces where warranted (catching overriding problems). • Proofreading documents and reviewing/approving creative pieces on the Executive’s behalf. • Performing clients invoicing and billing (AP and AR) • Routing/fielding the Executive’s calls as appropriate The ideal candidate would have some background in the advertising, marketing, and/or PR fields along with copywriting and/or graphic design experience (with Adobe Acrobat Professional 8 knowledge). If you don’t have this experience, you would be a self-starter who’s willing to develop copywriting and/or graphic design skills through our training. You must have the proven ability handling confidential information on a regular basis (we sign Non Disclosures with our clients), strong MS Office skills, effective written and verbal communication skills, and the ability to work in a fast-paced environment. The Executive is seeking a long-term candidate who desires the ability to grow. This is a temp to perm position. Raven Drum Foundation provides direct service to at-risk youth, cancer patients, veterans and trauma/natural disaster survivors. This is a permanent part-time job. Monday-Friday - flexible hours between 9am & 6pm, some weekends. Work from home; weekly meetings in Malibu or San Fernando Valley. Pay is $20-$25 per hour, DOE.
Job Responsibilities
-Community outreach -Cultivate partnerships with outside organizations -Organizational planning -Public speaking -Program creation, development, management, oversight, monitoring, evaluation and implementation in cooperation with the Executive Director
-Coordinate, lead, direct and assist staff and consultants in program development -Teacher and consultant development, supervision and coaching -New staff recruiting, resume review/selection, interviews, orientation and training
-Payroll - receive, review, verify, and submit invoices from teachers and consultants to accounting office -Program-specific and operational budget involvement (with input from financial officers)
Qualifications
Education and/or Experience: Attainment of an advanced degree in administration of a public benefit nonprofit organization (or a related field). Five years of increasingly responsible administrative experience, at least three of which shall have been in a supervisory capacity. Some work experience in creative, arts, education, healing arts, nonprofit or related fields. Love of or interest in music and healing arts.
Language Skills: Ability to read, analyze, and interpret business/professional documents; write reports and procedure manuals; communicate effectively in both written and oral form; and, effectively present information to membership, public group, and/or board of directors.
Communication: Communicates effectively with multiple audiences using a variety of formats; Great phone voice, upbeat and friendly.
Reasoning Ability: Able to define problems, collect data, establish facts, and draw valid conclusions; exhibit independent judgment in the development, implementation and evaluation of plans, procedures and policies.
Fiscal Management: Principles and techniques of contract administration and negotiation, community organization, and fiscal and organizational management.
Marketing and Public Relations: general principles and practices.
Computer skills: Sound knowledge of Microsoft Office Suite, especially Excel, Word and Access, Photoshop or similar, QuickBooks or similar, typing at least 35-40 wpm
Typically, these skills and knowledge are the result of a combination of formal education in business, non-profit management, marketing, finance or related area, and several years of experience in increasingly responsible management positions. Prior experience in the healing arts or public benefit nonprofit sector or a related field will be very useful.
